A collection of photos does not explain a claim

To write up a site visit, you need the location, context and evidence behind each finding. Information arriving through different channels makes it harder to assemble a coherent case record.

  • Images detached from the finding they document
  • Initial information and return visits kept separately
  • Reports that require rebuilding the context of the incident

An organised foundation for professional assessment

FieldProof helps collect and present information. Assessing the cause, values and policy coverage remains with the responsible professionals.

  1. Set up the case record

Create the customer's job and identify the site and areas to inspect.

  2. Document the damage

Record descriptions, locations, severity and photos attached to each observation.

  3. Prepare the visit report

Select the completed visits and generate a Word document containing the findings and evidence.

Tools for this workflow

Separate damage observations

Give each finding its own description and location.

Photos with context

Associate evidence with the visit and observation it documents.

Reports and versions

Combine visits in a DOCX and keep previously generated documents available.

In practice

Example: inspecting water damage

Illustrative scenario: a loss adjuster records ceiling stains and a condition observed on the roof.

  1. Identify the two areas and record the findings separately.
  2. Attach photos to each observation with the relevant notes.
  3. Generate the visit report and keep a separate record if a return visit is needed.

The document presents observed damage with locations and evidence as a basis for professional assessment.

What changes in your day-to-day work

An organised case record

The job brings together visits and access to their evidence.

Findings supported by records

Each description stays with the photos that illustrate it.

Continuity between inspections

Previous records remain available when another site check is needed.

Frequently asked questions

Does FieldProof calculate settlements or decide policy coverage?

No. FieldProof organises field records and generates documents. Technical assessment, valuation and coverage decisions remain the responsibility of the professionals involved.

Can I request photos from someone without a FieldProof account?

This is possible through a secure link with the Evidence Requests add-on. Contact us to confirm availability and terms; it is not included in Starter or the free trial.

Do received responses enter the report automatically?

Evidence received through Evidence Requests is reviewed first. Accepted photos must be linked to the appropriate visit to appear in its report. Text answers do not automatically become observations.

Can I use my report template?

Yes. Import a Word template compatible with the supported fields and generate the DOCX from the selected visits.
