Collect evidence without creating more accounts.

Send a request from the job or visit. The recipient replies through a secure link from their phone, without signing up, and the evidence arrives linked to the right job, ready for your review.

Not all evidence is collected during the visit.

Before an inspection, a client can send photos of the affected area so the team arrives prepared. Afterwards, a client photographs the repair a week later. A supplier confirms the installation. An occupant shows where the leak came back. When those photos arrive by email or messaging apps, someone has to work out which job they belong to and save them in the right folder.

How it works

    Create

    Open the job or visit and list what you need: photos or written answers, each with instructions, marked required or optional, with how many photos to send.

  2. 02

    Send

    Choose an expiry date and send the link by email, or copy it to share another way. The request can be written in Portuguese or English.

  3. 03

    Receive

    The recipient opens the link, takes photos with the phone camera or uploads them, removes any that are wrong and reviews everything before submitting.

  4. 04

    Review

    Follow each request as it is sent, in progress and submitted. If something is missing, ask for changes with a comment; the recipient sends a new version and earlier versions are kept.

  5. 05

    Accept

    Accept the submission and choose the visit, and if you wish the observation, where the photos belong. They become part of the visit's evidence and its Word reports, and the link stops working.

Evidence Requests questions

Does the recipient need a FieldProof account?

No. The request is sent as a link of its own, and the recipient provides what you asked for without creating a FieldProof account. The link is unique to the request and stops working when it expires, is cancelled or is accepted.

Can I ask for changes?

Yes. When you review a submission you can ask for changes with a comment. The recipient receives a new link for the same request and sends a new version; earlier versions stay in the request history.

What happens to the evidence that is submitted?

It waits for your review and does not enter visits or reports until you accept it. Once accepted, the photos are added to the visit, and optionally to an observation, that you choose, and can be included in your Word reports.

Where are the files stored?

Received evidence follows your organisation's storage configuration; the recipient does not choose where photos are kept. Your organisation needs a storage destination set up before it can send requests.

Is it included in my plan?

Evidence Requests is an optional feature for eligible plans. Contact us to learn more. It is not included in Starter or the free trial, and it does not require CloudFM Managed Storage.
